A useful note answers these questions
Which equipment was involved? What did the customer report? What did you observe or measure? What work did you perform? What remains unresolved?
Write measurements with their units and the conditions under which you took them. Keep blank fields visible as “not recorded” or “not measured.” Never let an AI writing tool invent a missing reading to make the note look complete.

“Customer reports intermittent cooling since yesterday. Outdoor model and serial recorded from the label. No performance measurements taken yet. Cause remains unconfirmed. Lead to review the equipment record and assign the next visit.”
This example is deliberately incomplete. It tells the next person where the investigation stands without implying that a fault was diagnosed.
Review an AI draft before saving it
- Compare every measurement and part number against the original record.
- Remove work the technician did not actually perform.
- Keep uncertain findings and customer statements clearly labeled.
- Check that the next action has an owner.
- Follow your company’s rules for customer data and retention.
